Many clients whose MX Records point to Google (Google Workspace) prefer using the Outlook Desktop App interface. Due to Google’s 2026 phase-out of legacy POP/IMAP "fetching," agents should always recommend the Native Google Sign-In (OAuth) method rather than manual server settings.
1. The Pre-Check (Verify Hosting)
Before troubleshooting, verify the domain is officially on Google Workspace.
Tool: Use any DNSCheck / MX Lookup tool.
Indicator: If the MX records show
aspmx.l.google.com, they are a Google Workspace client.
2. The "Modern Auth" Setup (Recommended)
Do not provide manual IMAP/SMTP settings (e.g., imap.gmail.com). Instead, use OAuth:
Open Outlook (Desktop version).
Go to File > Add Account.
Enter the Full Email Address (e.g.,
user@miriver.ca).
The Google Pop-up: Outlook will detect the Google backend and open a dedicated Google sign-in window.
Sign In: Have the client enter their Google password and complete any 2-Factor Authentication on their phone.
Permissions: Click "Allow" to grant Outlook access.
Finished: Everything (Mail, Calendar, and Contacts) will sync automatically.

4. Troubleshooting Common Roadblocks
Pop-up doesn't appear: Ensure the client is using a version of Outlook newer than 2016. Older versions do not support Modern Auth.
"Admin Approval Required": If the client sees this, they must log into their Google Admin Console (
admin.google.com) and allow "Microsoft Outlook" as a trusted third-party app under Security > API Controls.
The "Rerouting" Confusion: If a client says they "forwarded" mail to Gmail, explain: "Google Workspace is your engine, and Outlook is your dashboard. You can log into your Google account directly inside Outlook to see all your mail in real-time.
