If you use a Samsung Galaxy smartphone or tablet and notice that incoming emails—especially self-sent messages, folder moves, or new inbox alerts—are taking hours to appear on your phone, your email account settings are likely fine. Instead, Samsung’s built-in Power Saving and Background App Optimization settings are freezing your email app when it runs in the background.

This issue affects standard mail applications on Samsung One UI, including:
  • Microsoft Outlook
  • Samsung Mail
  • Gmail App (when configured with custom IMAP/POP domain email)
  • Mozilla Thunderbird Mobile
Note on Mail App Compatibility: We strongly recommend using Outlook, Samsung Mail, Gmail, or Thunderbird Mobile. Certain older or third-party email apps (like Spark or BlueMail) may fail to connect or sync properly if they do not support current SSL/TLS encryption standards (TLS 1.2+).

Why Do Sync Delays Happen on Samsung Devices?

  1. Samsung Battery Optimization ("Sleeping Apps"): To extend battery life, Samsung automatically puts background apps into a "paused" or "sleeping" state, stopping your mail app from fetching new messages until you open it manually.

  2. System Master Sync Toggled Off: Android’s master Auto Sync feature may be disabled in your phone’s system settings.

  3. App Background Data Restrictions: Background network access or internal sync polling intervals may be restricted inside the app's settings.

Step-by-Step Resolution Guide

Step 1: Set Your Mail App Battery Usage to "Unrestricted" (Crucial for Samsung)

This prevents Samsung One UI from putting your mail app to sleep when your phone is locked or idle.
  1. Open your phone's main Settings app.
  2. Scroll down and tap Apps.
  3. Scroll down and select your mail app (Outlook, Samsung Mail, Gmail, Thunderbird, etc.).
  4. Tap Battery.
  5. Change the selection from Optimized to Unrestricted.

Step 2: Verify Master "Auto Sync Data" is Enabled

Ensure your phone’s master synchronization switch is active.
  1. Open your phone's main Settings app.
  2. Tap Accounts and Backup.
  3. Tap Manage Accounts at the top.
  4. Scroll down to the very bottom of your accounts list.
  5. Ensure the toggle switch for Auto sync data (or Auto sync personal data) is switched ON (Blue).
Note for Samsung Users: Apps like Microsoft Outlook manage accounts internally within the app rather than as system-level phone accounts. Your email address may not appear directly in Samsung's system list unless you use Samsung Mail, but the master Auto sync data switch at the bottom must be ON for any mail app to receive background updates.

Step 3: Check Internal App Sync Settings

Depending on which mail client you use, confirm that automatic background fetching is turned on:
  • Microsoft Outlook App:
    1. Open Outlook and tap your profile icon/inbox envelope in the top-left corner.
    2. Tap the Gear Icon (Settings) at the bottom left.
    3. Under Accounts, tap your email address > tap Sync Settings.
    4. Ensure Automatically Sync and download your emails and attachments is enabled.
  • Samsung Mail App:
    1. Open Samsung Mail and tap the Menu (≡) icon > Gear Icon (Settings).
    2. Tap your email account under Accounts.
    3. Tap Sync schedule and set it to Auto (when received).
  • Gmail App (Custom IMAP Account):
    1. Open Gmail and tap the Menu (≡) icon > Settings.
    2. Tap your domain email address.
    3. Scroll to Data usage and ensure Sync Gmail (or Sync Email) is checked, and set Sync frequency to Automatic / As items arrive.

Step 4: Use "Reset Account" or Clear App Cache for Quick Repairs

If email folders ever become stuck or stop updating, you can refresh the app without removing your account:
  • Outlook App: Go to Settings (Gear Icon) > Accounts > Tap your email address > scroll down and tap Reset Account.

  • Samsung Mail / Gmail / Other Apps: Go to phone Settings > Apps > Select your mail app > Storage > tap Clear Cache (do NOT click Clear Data). Re-open the app to trigger a fresh sync.
